What is the purpose of the role?
We are seeking a detail-oriented and proactive Administrative Assistant to support our clients operations. The ideal candidate will provide administrative support to ensure efficient day-to-day operations of the office, assist with documentation, scheduling, data entry, and communication between departments. This role will help maintain the organisation and coordination across the team and other business units.
What will the Administrative Assistant be responsible for?
· Provide general administrative and clerical support to office staff and department heads.
· Maintain and organize physical and digital filing systems, including production records, inventory logs, and employee documentation.
· Prepare and edit correspondence, communications, reports, and presentations.
· Coordinate and schedule meetings, appointments, and travel arrangements for managers and staff.
· Assist with purchasing and inventory management, including order tracking and vendor communication.
· Help process and maintain records related to safety protocols, compliance, and quality control documentation.
· Handle incoming calls, emails, and other communications professionally and direct them to the appropriate departments.
· Assist with payroll preparation, timekeeping records, and attendance tracking.
· Support HR functions such as onboarding, training coordination, and maintaining employee files.
· Monitor and maintain office supplies inventory and order new supplies as needed.
· Perform other related duties as assigned to support the administrative and operational needs of the company.
What skills and qualifications will the will the Administrative Assistant have?
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Experience with ERP systems or manufacturing software is a plus.
· Excellent written and verbal communication skills.
· Strong organizational and multitasking abilities.
· Attention to detail and problem-solving skills.
· Ability to work independently and collaboratively in a fast-paced environment.
